Village Hall Clerk – Role Profile

 

Location: Melbury Abbas & Cann Village Hall

 

Reporting to: Village Hall Management Committee

 

Salary: £20 per hourHours: 2–4 hours per month (flexible, with occasional additional time by agreement). Person must be self-employed and able to submit invoices for payment.

 

Role Purpose 

 

The Village Hall Clerk plays a key role in supporting the smooth and effective running of the village hall. Working closely with an active and supportive Management Committee, the Clerk will provide administrative, financial, and communications support to ensure the hall remains well-managed, compliant, and welcoming for the community. Own computer and good IT skills essential, as this role will interact with a number of online apps and tools. Full training provided.

 

Key Responsibilities

  • Financial Administration

    • Support the treasurer with processing invoices, payments, and banking processes

  • Bookings Administration

    • Support with hall bookings enquiries, and the bookings calendar

    • Maintain and improve our online filing system.

  • Publicity & Communications

    • Work with the trustees to improve and update the village hall website

    • Support the Hall’s social media accounts (Facebook & Nextdoor)

    • Help to promote events, activities, and hall availability, seek new regular bookings

    • Support the creation of simple promotional materials (posters, notices, newsletters)

  • Compliance & Governance

    • Attend the hall once per month to run compliance checks (fire alarm, emergency lighting, and visual checks of fire equipment)

    • Support filing system for compliance. Maintain key documentation (policies, insurance, licences, risk assessments)

    • Assist with grant applications or reporting where needed
